One assistant, one education client, 25 June to 20 September 2026:
- 797people wrote in
- 2,833replies the assistant sent
- 46left their number as a lead
Sound familiar?
Six problems I keep running into.
Which one sounds like your week?
-
Enquiries come in everywhere and land in no list.
WhatsApp, Instagram, the website, a missed call. By evening no single list holds them.
-
The real version of the business is in four files and somebody’s head.
Whichever file was opened last is the true one.
-
You answer the same questions all day, every day.
Typed out again for every new person — and when the answer changes, half the team has not heard.
-
A quote goes out and nobody ever goes back to it.
It sits in a sent folder and quietly becomes a no.
-
Nothing shows you how the business is doing right now.
What came in, what is owed, which job is late — three apps away and already out of date.
-
Your people spend the day on work that earns nothing.
Filling in the sheet, copying details across, chasing paperwork.
None of it is a people problem. The audit tells you which one to fix first.
The solutions
What a solution actually looks like.
Five shapes the fix usually takes.
-
01
Chatbots on your channels
Answers your customers where they already write to you.
- Website
-
02
AI OS — the second brain of the business
Everything the business knows, on one screen — and something that has read all of it.
- Every department
- Every customer
- The money
- One record
-
03
Dedicated agents
One worker, one job, done every time without being asked.
- Chases a quote
- Drafts the report
- Routes an enquiry
- Watches a number
-
04
Websites and systems
Built for the job, and wired into everything behind it.
- Company sites
- Landing pages
- Multilingual
- Leads straight in
-
05
Whatever doesn’t have a name yet
Some problems have nothing you can buy. Those get built from scratch.
- An internal tool
- Two systems nobody connected
- Something nobody sells
- Your own product
None of these is the product. The product is the end of one problem.
Demo
One screen that tells you what needs you today.
Who is waiting for an answer, which promise is about to break, and what money is agreed but never asked for — before you have opened a single app.
Dashboard
Tuesday 2 September · two things need you today
until a promised quote is late
You told the customer 48 hours. It is drafted — it has not been sent.
3 enquiries need a reply Oldest: 2 days, from the website form
5 quotes have had no answer Sent over a week ago — a follow-up is due
2 finished jobs not invoiced yet Both signed off by the customer
Suggested next steps — and why
Check the ad targeting and the enquiry form. The ads brought 260 clicks this month and no enquiries. Either the wrong people are clicking or the form is losing them — the numbers alone cannot tell which.
Invoice the two finished jobs. Both are signed off by the customer, so nothing is waiting on anyone else.
Based on this month's enquiries, quotes, invoices and ad results
How it works
How it works. Six steps.
From the first call to handing it over.
-
Free, no obligation. What the business is, who does what, and the thing that eats your week. If I cannot help, I say so and we stop there.
-
Only if there is a fit. Forty-five to sixty minutes across every part of how the business runs — who does what, how long it takes, and what a mistake costs.
-
Written, yours to keep. The problem measured, and the opportunities ranked by what each one is worth to you.
-
We scope that one thing and agree what it does and what it costs, in writing, before anything is built.
-
Built around the tools you already use and tested on your real data, not on a demo.
-
Your team is walked through it. The accounts, the data and the system are yours.
The first call is free, with no obligation. The report is yours to keep, whatever you decide.
Work
Real problems, and what fixes them.
Two for a real client. One proposed after an audit, and not built.
-
An assistant on Instagram — Client work · built
An educational business, three branches
The problem
A hundred and fifty Instagram messages a day, a third of them real parents. One person filtered them by hand. Twenty hours a week, forty in season.
The fix
An assistant answered instead, read what was actually free at the moment it was asked, and passed on only the real ones — details already written down.
- 150messages a day, before
- 20ha week, filtering by hand
- 3branches, one record
-
One system behind it all — Client work · live, still being extended
The same business
The problem
Three departments, three sets of spreadsheets. Every question meant asking somebody.
The fix
One system the business runs on, where everything lands on its own. The camp already runs on it; the school and kindergarten are moving in, each keeping its own words.
- 3departments moving onto one system
-
Every channel into one feed — Proposed solution · not built
A construction company
The problem
Ninety enquiries a month across four inboxes, one contract in four months. The owner answered every one himself, from site.
The proposed fix
Every channel into one feed, answered on arrival in its own language, tagged with its source — so the owner stops being the inbox.
- 90enquiries a month, measured at the audit
- 4inboxes to bring into one
- 3languages to answer in

I ran these processes by hand. Now I fix them.
Four years in a bank’s support team for business clients. Then chief dealer at a brokerage, reading markets and watching risk. Then years with property investors, running deals from the first viewing to the signature — a hundred small processes strung together. And a marketing agency with a partner.
I am not a developer. What I have is years inside business processes, and I know where they leak, because I was the one patching them by hand. Now I can build the thing I would have built then. I run the call, the audit and the build. No account manager, nobody to hand you off to.
Fit
Am I the right person for this?
This is for you if
- You can point at the part of your week you hate. What to build is my job.
- You would rather fix one thing properly than switch on ten new tools.
It is probably not for you if
- Not enough people are asking. That is marketing, not operations — I will say so rather than take the work.
- You want a tool switched on with nothing else changing. It will sit unused, like the last one.
- A cheap tool already does the job. Sometimes one does, and I will say so.
FAQ
What people ask me before we talk.
What does it cost?
There is no fixed price, because there is no fixed solution. The call, the audit and the report cost nothing. After that you decide which problem you want solved, and only then do we scope that work and agree a price in writing. Never before.
I have tried AI in my business and it did not work.
The most common thing I hear, and it is almost never the AI itself. Usually it was given a job without being told how the job is actually done here — your rules, your steps, what right looks like, what to do when it is not sure. Out of the box it knows none of that, so it improvises. Often it was also pointed at the wrong task: something impressive rather than something that actually hurts. And it was left standing on its own, disconnected from where the work really happens. Fix those three and it stops being a demo and starts being a worker.
How long before something is actually working?
The call is fifteen minutes and the report is with you shortly after the audit. A first build is usually weeks, not months — because we deliberately start with one thing rather than everything. You see it running on your own data before we talk about the next piece.
Do I have to change the tools we already use?
No. It gets built around what you already have. Changing everything at once is how these projects die, and it is the reason your team would stop using it in the second week.
What if my team will not use it?
Then it was built wrong. If people have to remember to feed it, they will not. The work has to arrive on its own and the system has to be faster than the old way on the first day, or it does not deserve to exist.
What happens to my data?
It stays yours and it stays where it already lives. Everything is built on accounts in your name — your database, your inbox, your systems. The AI reads only what it needs for the job it is doing. When the work is finished, the accounts, the data and the system are handed over to you, with nothing that stops working the day you stop paying me.
Finish
Fifteen minutes. Tell me what eats your week.
You describe what is going on, I tell you honestly whether I can help. If there is a fit, the full audit comes next. If not, I say so and we stop there — which costs you a quarter of an hour.
